After more than a year of planning, configuration, and testing, the Iowa WorkSmart Project has entered the Deploy Stage of the Workday implementation. Here’s the latest on the Iowa WorkSmart Project, including information about upcoming training, results of the recent Future State Discussions, and the importance of Project communication in the upcoming months.
The Iowa WorkSmart Project will combine the state government human resources/payroll and financial management systems together by implementing Workday. Workday will replace two of the state’s current legacy systems - the Human Resources Information System (HRIS) and Integrated Information for Iowa (I/3). The anticipated t date for replacing HRIS is September 2021, and September 2022 for I/3.
Once implemented, Workday will benefit you in several different ways. A few examples include:
You can:
1) Submit timesheets;
2) Submit time off requests;
3) View benefits, complete open enrollment and life event changes;
4) Easily submit personal data changes to your profile;
5) Submit expense reimbursement requests.
Managers/Supervisors can:
1) Review and approve employees’ timesheets;
2) Review and approve time-off and leave requests with access to employees’ schedules;
3) Directly initiate real-time dashboards, calendars, team organizational charts with a one-stop view of team statistics such as years of service, time in their current role, compensation, and performance history; and
4) Review and approve employees’ expense reimbursement requests.
Workday Training Is Coming

Future State Discussions Highlight Upcoming Changes
In May, more than 1,000 managers and supervisors from 65 state agencies met with members of the Iowa WorkSmart Readiness Team to discuss changes to HR and financial business practices, and Workday’s Manager Self-Service (MSS) and Employee Self-Service (ESS) capabilities.
